Finding a manufacturer in China is not hard. Finding one that actually makes your product, at the quality you need, and still answers your messages after the deposit clears is the real job. If you want to know how to find a manufacturer in China without paying for the learning curve, the sequence matters: specify, search, qualify, verify, sample, then order. Skip a step and you usually pay for it later.

Key takeaways

  • Write a one-page product spec before you contact anyone. Vague inquiries get vague quotes.
  • Alibaba is a shortlisting tool, not a verification tool. Many strong factories are on 1688 or only found in industrial clusters.
  • Trading companies are not the enemy, but you must know which one you are dealing with and price accordingly.
  • Verify the business license, ask for a live video tour and pay for samples before any deposit.
  • Use a sourcing agent when the product is custom, the order is large, or you cannot be on the ground yourself.

Define your product spec before you search

Most buyers start by typing a product name into Alibaba. We start with a spec sheet, because the spec decides which suppliers are even relevant. A factory that makes stainless steel bottles may not make vacuum-insulated ones with a custom lid mold.

Your spec should fit on one page and cover: material and grade, dimensions and weight, finish and color (Pantone code if it matters), function and performance requirements, packaging, required certifications (CE, FCC, FDA, UL, RoHS, etc.), target unit price, order quantity and target delivery date. Add reference photos, or a competitor's product link, so the supplier sees exactly what you mean.

A clear spec filters out suppliers who cannot make the product, makes quotes comparable, and becomes the basis for sample approval and inspection later. Send the same spec to every supplier.

How to find a manufacturer in China: where to search

No single channel covers the whole market. We use three or four in parallel and cross-check who shows up in more than one.

Online B2B platforms

  • Alibaba.com: export-facing, English interface, Trade Assurance payment protection. Prices include export margin and listings are dominated by trading companies in many categories. Good for a first shortlist.
  • 1688.com: Alibaba's domestic platform. Chinese language only, CNY pricing, factory-direct and usually 20 to 40 percent cheaper, but no export support and domestic shipping only. We cover the trade-offs in our Alibaba vs 1688 vs sourcing agent comparison.
  • Global Sources: stronger in electronics, gifts and fashion accessories, with more verified manufacturers and fewer tiny traders than Alibaba.
  • Made-in-China.com: solid for industrial goods, machinery, building materials and auto parts. Supplier audits are available on many listings.

Trade fairs

The Canton Fair in Guangzhou (April and October each year) remains the best place to meet hundreds of factories in one week and handle products physically. Sector shows such as the Hong Kong Electronics Fair, the Yiwu Commodities Fair and CIFF for furniture are more focused and less crowded.

Industrial clusters

China's manufacturing is geographically concentrated, and knowing the clusters tells you where a real factory for your product should be located:

ClusterTypical productsWhat to expect
Shenzhen / Dongguan (Guangdong)Consumer electronics, PCBs, chargers, smart devices, injection moldingFast prototyping, strong engineering, higher labor cost
Yiwu (Zhejiang)Small commodities: gifts, toys, stationery, seasonal decor, accessoriesLow MOQs, huge wholesale market, many traders; verify who actually produces
Dongguan / Foshan (Guangdong)Furniture, lighting, hardware, ceramics, building materialsMature OEM factories, good for custom finishes and large volumes
Zhejiang (Shaoxing, Haining, Ningbo)Textiles, fabrics, leather goods, home textiles, plasticsVertically integrated mills, competitive pricing on volume

If a "furniture factory" gives a Yiwu address or an "electronics manufacturer" is registered in a textile town, that is your first clue it is a trading company.

Factory vs trading company: how to tell the difference

Roughly half of the suppliers calling themselves manufacturers on B2B platforms are trading companies. That is not automatically bad: a good trader consolidates several factories, speaks better English, accepts lower MOQs and handles export paperwork. But a trader's price carries an extra 10 to 20 percent and their control over quality is indirect, so part of knowing how to find a manufacturer in China is knowing when you have not found one.

Signs you are talking to a trading company:

  • The product catalog spans unrelated categories (kitchenware, phone cases and garden tools from one "factory").
  • The business license lists trade (贸易) or import-export (进出口) in the company name or scope, without production (生产) or manufacturing (制造).
  • They decline a live video call from the production floor or send a video that does not match the claimed address.

Ask directly: "Are you the factory or a trading company?" then verify the answer. "We are a factory with a trading arm" usually means a trading company with a cooperating factory.

How to verify a Chinese manufacturer

Verification removes most of the risk and costs very little compared to a lost deposit:

  1. Business license (营业执照). Ask for a copy and check the company name, registered capital, legal representative, address and business scope. Look up the Unified Social Credit Code on the National Enterprise Credit Information Publicity System or a mirror such as Qichacha or Tianyancha. The registered name must match the name on the bank account you will pay.
  2. Export license and certifications. A factory that exports directly holds customs registration. If they cannot export, you will need a forwarder or agent to handle declaration. Ask for test reports and certificates for your product and check the issuing lab is real and the report references their company, not a copied PDF.
  3. Live video call. Not a pre-recorded video. Ask them to walk from the office to the workshop, show the machines running and the sign at the gate. Ten minutes live tells you more than a week of chat.
  4. Factory audit. For orders above roughly USD 15,000 to 20,000, or for anything with safety implications, pay for an on-site audit (USD 300 to 600 for a basic one-day visit). It confirms capacity, equipment, quality systems and worker count, and it signals to the supplier that you take quality seriously.

If you have no one on the ground, our team runs these checks daily in Guangdong, Zhejiang and Yiwu. You can send us your product spec on WhatsApp and we will shortlist and verify suppliers for you.

Sampling: pay for it and test it properly

Never place a production order without an approved sample in hand, even for a "standard" product. Catalog photos are often from other factories. Expect to pay USD 20 to 150 per sample plus courier, with the fee usually credited against the first order.

Request samples from two or three shortlisted suppliers at the same time and test them against your spec sheet: measure, weigh, drop-test, run electronics for 48 hours, wash the fabric, check the packaging. Send the supplier a written approval or a list of changes. That approved sample becomes the "golden sample" the inspector compares production against.

For custom products, budget for a second sampling round. First samples are right about half the time in our experience, and a second round is far cheaper than a container of wrong product.

Red flags that should stop the deal

  • Bank account name does not match the company on the business license, or they ask you to pay a personal account or a Hong Kong company you have not vetted.
  • Price far below every other quote for the same spec. Usually it means different materials, a bait quote that rises after deposit, or no intention to ship.
  • Pressure to pay in full upfront. Standard terms are 30 percent deposit, 70 percent against the inspection report or bill of lading copy.
  • Refusal of third-party inspection. A real factory with nothing to hide has no reason to refuse.
  • Communication switches to a free webmail address or the "sales manager" changes mid-negotiation: the classic account-hijack pattern. Our article on how to avoid scams buying from China covers the common ones.

When it makes sense to use a sourcing agent

If you are buying a standard product under USD 5,000 from an Alibaba Gold Supplier with Trade Assurance, you can probably do it yourself. An agent earns their fee when:

  • The product is custom (OEM/ODM, private label, tooling) and needs back-and-forth with engineers in Chinese.
  • The best factories for your product sell on 1688 or offline and do not speak English.
  • Order value is large enough that a 5 to 10 percent commission is cheaper than one failed batch.
  • You need someone to physically check the factory, attend sampling and inspect before shipment.

A good agent is transparent about fees, puts the factory's name on the contract so you own the relationship, and shares every quote they receive. If an agent refuses to tell you which factory makes your goods, they are likely taking a margin on both sides. Our breakdown of China sourcing agent fees explains the three fee models and what to ask before signing. You can see the full scope of what we handle on our sourcing services page.

Learning how to find a manufacturer in China rewards patience in the first month. Write the spec, search two or three channels, qualify who is actually producing, verify the paperwork and the floor, test samples, and only then wire a deposit. Done this way it takes four to six weeks, and the supplier you end up with is usually one you keep for years.

Frequently asked questions

How do I know if a Chinese supplier is a factory or a trading company?

Check the business scope on the business license (a factory lists 生产 or 制造, meaning production or manufacturing), ask for a live video walk of the production floor, and compare the registered address with where the machines actually are. Trading companies often list many unrelated product categories and quote longer lead times because they wait on their own supplier.

Is Alibaba the best place to find a manufacturer in China?

Alibaba is the easiest starting point for English-speaking buyers and offers Trade Assurance, but it is only one channel. Many of the best factories sell through 1688, trade fairs or regional wholesale markets and never list on Alibaba. Treat Alibaba as a shortlisting tool and verify every supplier independently before paying a deposit.

How much does it cost to get samples from a Chinese manufacturer?

Expect to pay USD 20 to 150 for a standard sample plus express courier, typically USD 30 to 60 per shipment. Custom or tooled samples cost more. Most factories refund or credit the sample fee against your first bulk order, so ask for that in writing before you pay.

How long does it take to find a manufacturer in China?

For a standard product, allow 3 to 6 weeks from first search to a verified supplier with an approved sample. Custom OEM products with molds or new packaging usually take 2 to 3 months before production starts. Rushing the verification stage is where most costly mistakes happen.

Can I visit a factory in China before ordering?

Yes, and serious suppliers welcome it. If you cannot travel, a third-party factory audit (typically USD 300 to 600 for a one-day visit) or a sourcing agent's on-site check gives you the same information: real production capacity, worker count, machinery, certifications and whether the factory actually makes your product.
